Executive Summary

Sandeep Kashyap is the founder and chief executive of ProofHub, a project-management and team-collaboration platform he has built without taking outside investment. The company’s origin is unusually literal about the problem it solves. Working on client projects in 2007, Kashyap kept running into the same friction — “too much back-and-forth on design leading to errors,” as he later put it — and built a small online proofing tool, ProofMini, to make feedback easier to give and act on. What he came to see was that proofing was a symptom: the real problem was context scattered across too many tools. ProofHub was the answer to that larger version of the question, pulling task management, discussions, proofing, time tracking and file review into a single place. The company says it now serves more than 85,000 customers across 141 countries with a team of about fifty, and it has stayed bootstrapped throughout.

Career Highlights

  • Built ProofMini in 2007, an online proofing tool created to cut the review cycle on client design work.
  • Founded and led SDP Labs from 2007, before ProofHub became the focus.
  • Launched ProofHub, which the company’s own site dates to 2012, expanding from proofing into full work management.
  • Grew the company to a stated 85,000-plus customers in 141-plus countries with a 50-plus team, entirely without venture funding.
  • ProofHub’s published customer list includes Boeing, Netflix, Google, NASA, Nike, Pinterest, TripAdvisor, Disney, Marriott International and the University of Michigan.
  • Became a prolific writer on project management, leadership and work culture, both in ProofHub’s own article library and as a contributing columnist to InformationWeek, CIO and other trade publications.

Professional Journey

Kashyap’s route into software was not a conventional one. By his own account he started young as a web designer with no design background, learned the craft from scratch, and got good at it. That work — client projects, design reviews, endless rounds of comments — produced the observation the rest of his career has been built on.

In 2007 he founded SDP Labs and, the same year, built ProofMini: a small tool to handle online proofing, so that feedback on a design could be given in place rather than reconstructed from email threads. It solved the immediate irritation. But as he worked with more teams, he concluded the proofing problem was downstream of something larger — that when work is spread across a task tool, a chat tool, a file store and an inbox, the context that makes feedback meaningful goes missing. ProofHub was designed around closing that gap, and ProofHub’s own site dates its launch to 2012, though third-party accounts commonly say 2011.

The decision that has most shaped the company is what he did not do: raise money. Kashyap has described the early years candidly — limited funds meant wearing several roles at once, and “getting noticed in a busy market and finding early customers was really hard.” He has said the way through was to keep the product good and to act on what users told him. Bootstrapping also set the company’s shape. ProofHub sells at a flat rate rather than per-seat, which suits a business that has to win customers on economics rather than on a sales force, and it has grown steadily rather than explosively, reaching a stated 85,000-plus customers with a team of around fifty. Independent trackers estimate annual revenue in the mid-single-digit millions of dollars.

Alongside running the company, Kashyap writes heavily. He is the named author across ProofHub’s substantial article library and contributes columns on project management, agile practice, leadership and work culture to InformationWeek, CIO and similar outlets — content marketing that doubles as the company’s main distribution channel, which is the usual pattern for a bootstrapped SaaS business without a marketing budget.

On how he runs the company, his stated emphasis is on empowerment, open communication and learning from failures as much as wins. Asked what he would give his team more of, he answered “an extra dose of radical empathy,” on the view that understanding other people’s perspectives is what makes an organisation work. ProofHub’s internal culture, as he describes it, runs on lunchtime card games, monthly team events and seasonal tournaments, with deliberate attention to marking the cultural celebrations and personal milestones of a geographically mixed team.

Education

No education record could be established from a usable source. ProofHub’s own About page, his ProofHub author biography, his founder AMA with Vestd and his third-party company profile all name no institution, degree or field of study. His author page claims a career spanning more than 25 years in IT but gives no academic background. A widely repeated claim about a postgraduate computing qualification traces only to a self-supplied professional profile and could not be corroborated independently, so nothing is asserted here.
